Invoicing in United States: what your invoice needs
The United States has no federal VAT and no federal rule for what an invoice must contain. The IRS cares about your income, not the layout of the paper. What matters in practice is that the invoice is clear enough for your client's accounts payable team to pay it and for you to prove the income later.
Sales tax is the part that trips people up. It is charged by states and sometimes cities, it depends on what you sell, and most states do not tax pure services such as design, writing or consulting. Selling physical or digital goods is a different story, and some states tax certain services.

What a United States invoice should include
- Your name or business name, address and contact details
- The client's name and billing address
- A unique invoice number and the invoice date
- The due date and payment terms, plus how to pay
- A clear description of the work or goods, with quantity and rate
- Sales tax, if you are required to collect it, shown as a separate line
- Any client reference such as a purchase order number
Practical tips
Do not put your SSN on the invoice
Give your taxpayer ID to the client on a Form W-9, not on the invoice. Invoices get forwarded and stored in many places, and a Social Security number should not be on any of them.
Check sales tax before you send
If you sell goods or a taxable digital product to customers in other states, you may owe sales tax there once you pass that state's economic nexus threshold, often $100,000 in sales. Your state revenue department can tell you what applies.
Agree late fees in writing
A late fee is easier to collect if the rate and grace period were in the contract or on the invoice from the start. Add the rule to the invoice notes.

Do I need to charge sales tax on freelance services?
Often not. Most states do not tax professional services, but a few do, and rules differ for software, digital goods and physical products. Check your state's rules, or ask an accountant if you sell across state lines.
What is a 1099-NEC and does it affect my invoice?
If a US client pays you $2,000 or more in a year for services in 2026, they usually have to report it to the IRS on a 1099-NEC. It does not change your invoice, but you will need to send the client a W-9 first.
Can I invoice in a currency other than USD?
Yes. Pick the currency in the tool. US clients usually prefer USD, and quoting in another currency shifts the exchange-rate risk to them.
Is an invoice legally required?
There is no federal law that requires one, but you should always issue one. It is your record of income for tax purposes and your evidence if a client does not pay.
