Invoicing in Belgium: what your invoice needs
Belgian invoices carry the usual VAT details, and three official languages mean the same invoice can be written in Dutch, French or German. A common local habit is to add a structured payment reference (gestructureerde mededeling, in the +++123/1234/12345+++ format) so that payments can be matched automatically.
The bigger rule is Belgium's mandatory B2B e-invoicing, which started on 1 January 2026. Between Belgian VAT-registered businesses, invoices now have to be structured e-invoices sent through the Peppol network.

What a Belgium invoice should include
- Your name, address and VAT number (BE + 10 digits)
- The customer's name, address and VAT number for business customers
- The invoice date and a unique, sequential invoice number
- A description of the goods or services, quantity and unit price
- The date of supply, if different from the invoice date
- The amount excluding VAT, the VAT rate, the VAT amount and the total
- If no VAT is charged: the reason, such as the small-business exemption or the reverse charge
Practical tips
Use a structured payment reference
Belgian clients often pay by matching the structured communication on the invoice. Add one in the notes, in the +++000/0000/00000+++ format, so their bank can reconcile the payment.
Check whether the e-invoicing rule applies to this sale
The mandate covers sales between Belgian VAT-registered businesses. Sales to consumers and to customers in other countries are outside it. If you are unsure, ask your accountant.
Write in the customer's language
Invoices in Belgium are commonly written in the language of the customer's region, Dutch, French or German. English is usually accepted between international businesses.
Common questions about invoicing in Belgium
Is a PDF invoice still valid in Belgium?
For consumers and customers outside Belgium, yes. For domestic B2B sales between VAT-registered businesses, invoices must be structured e-invoices sent through Peppol since 1 January 2026, so a plain PDF no longer meets the rule.
What is the small-business VAT exemption?
Businesses with annual turnover up to €25,000 can choose the VAT exemption for small businesses. They charge no VAT, and their invoices say so. They cannot deduct VAT on their costs.
What is the structured communication?
A 12-digit reference in the form +++123/4567/89012+++ printed on the invoice. When the customer pays with it, your bank can match the payment to the invoice automatically.
Do I need a Peppol account?
If you invoice Belgian VAT-registered businesses, yes. You can use an accounting package with built-in Peppol or a separate access point. The Peppol network publishes a list of certified access points.
