Invoicing in Canada: what your invoice needs
Canadian sales tax depends on where the customer is, not just where you are. The federal GST is 5% everywhere. Five provinces add a harmonized HST that bundles the provincial part in one rate, and the rest either charge a separate provincial tax (Quebec, British Columbia, Saskatchewan, Manitoba) or nothing beyond GST.
If you are a GST/HST registrant, the invoice is also the document your customer uses to claim input tax credits, so the CRA sets out how much detail it needs. The higher the total, the more detail is required.

What a Canada invoice should include
- Your business name and your GST/HST registration number (a 9-digit number followed by RT 0001)
- The invoice date and a unique invoice number
- A description of what you sold
- The total amount, and the GST/HST charged (or a statement that it is included)
- From $100: your registration number must be shown
- From $500: also the buyer's name and the payment terms, with enough description to identify the supply
Practical tips
Use the rate for the customer's province
For services, tax normally follows where the customer is located or receives the service. Charging Ontario's 13% to a customer in Nova Scotia is a common mistake. Check the place-of-supply rules if you sell across provinces.
Quebec is separate
If you sell to customers in Quebec you may need to register with Revenu Québec for QST, which is administered separately from GST. Mention both taxes on the invoice.
Small supplier? Say so
If you are under $30,000 and not registered, do not charge GST/HST. It helps to add a line such as "Not registered for GST/HST" so the customer knows why no tax is shown.
Common questions about invoicing in Canada
Do I need a GST/HST number to send an invoice?
Only if you are registered. You must register once you exceed the $30,000 small supplier threshold. Below it, you can choose to register voluntarily if you want to claim input tax credits on your own expenses.
Which rate do I charge if I invoice a customer in another province?
It depends on where the service is supplied. For most services provided to a customer, the tax rate of the customer's province applies. For goods, it is usually the province where the goods are delivered.
Can I add two taxes to the same invoice?
Yes. For Quebec sales, show GST and QST as separate lines. Use the tax rate field for the combined percentage, and write the breakdown in the notes.
Do I need to show my registration number on small invoices?
Under $100 you can generally leave it out. From $100 up you must show it. It is safest to put it on every invoice, so your customer can always claim the credit.
